| Details: Purchaser/Assistant Sales Rep The purchaser is primarily responsible for writing purchase orders and dispersing them, usually via fax or email, to the appropriate vendors. Purchase orders include information obtained from the Assistant Sales Reps, including part numbers, prices and quantities, end user information, shipping detail, and other details needed to place the order in the most productive manner.  Often, the Purchaser must place or cancel an order immediately, in the instance of an urgent request or change in availability. Familiarity with MIS (the internal accounting application for Nexus) is important in these urgent situations, so that no time is lost due to confusion in the process.  The purchaser is responsible for checking the status of all open drop ship orders, collecting tracking and serial numbers, and calculating shipping charges. When this information is documented and it is clear that the orders have been shipped from the vendor to the client, the purchaser receives the parts in MIS and prints a receivings report. The reports that are printed throughout the day are delivered to accounts payable. The completed drop ship orders are photo-copied. The original orders are given back to the ASRs and the copies delivered to the accounts receivable department for billing.  The purchaser is also responsible for following up on orders placed to be delivered to Nexus' warehouse to make note of price changes, taxes and shipping charges. This information is then communicated to the ASRs.  Purchaser disperses software licensing and invoices to Assistant Sales Reps as they are received, usually in email form, and then files them according to vendor. When this process is completed, licensing is received in MIS and a receivings report is printed. These reports are included in the reports delivered to accounts payable on a daily basis.  It is important for the purchaser to be available to check the status of an order for sales reps at any time, especially if it is an order that was placed with urgency. For this reason, the purchaser must have contact information for all vendors readily available, and be able to continually contact vendors for status updates when appropriate.
